Job Description:
Overview:
The Field Support Center Personnel Representative shall serve The
Navigators and fulfill the responsibilities listed below in the
spirit of The Navigators calling, values and purpose: - To advance
the Gospel of Jesus and His kingdom into the nations through
spiritual generations of laborers living and discipling among the
lost. -This position provides personnel support within the Field
Support Center for field staff. - This includes the administration,
initiation of, and correspondence regarding personnel change
requests within the field. These responsibilities span from when a
field staff applies for a role with The Navigators to when they end
their staff relationship. -
Responsibilities:
Personnel Systems AdministrationRegularly track and facilitate all
field staff through the life cycle of their association and/or
employment with The NavigatorsUnderstand multiple systems (iCIMS,
Workday, FreshService), be able to troubleshoot and problem-solve,
and assist field staff in navigating these systems as
neededAdminister the application process in The Navigators'
applicant tracking system (iCIMS) which includes correspondence
with the applicant, hiring supervisor, and others as requestedGuide
new EDGE and iEDGE staff through the processes of application,
onboarding, and registering for New Staff Orientation and/or
SummitsAssist new World Missions staff through the processes of
application, onboarding, and registering for New Staff Orientation
and DiscoveryCoordinate with FSC Events and World Missions to
prepare Short Term applicants for Short Term OrientationsEnsure
processes, procedures, and documentation is in alignment with HR
changes, including job descriptions, applications, Workday
processes, NavRep CommissioningCommunicate regularly with staff
leaders about new applicants - where they are in the process and
address any needs or concernsPartner with the Recruiting team and
Pathway Coaches on recruiting efforts as neededResponsible for
moving the applicant through all iCIMS workflows to include the
automated reference checks within Skill Survey, background
screening process with First Advantage and CARM, offer letter, and
process the hire into WorkdayCoordinate with Train Develop Care
department to set up staff questionnaires and interviewsEnsure all
required information and documentation is collected and
appropriately in electronic worker records filed in The Navigators'
personnel system (Workday) and/or iCIMSRoutes inquiries to the
appropriate HQ employees when neededAttend meetings as requested to
communicate and clarify processes Coordinate and conduct
administrative training for new staff in cooperation with the
appropriate HQ staff Track, manage, and collect required new staff
information and/or documentation prior to their first day of staff
and/or their first assignmentProcess I-9 documents and ensure valid
I-9 documentation for all staffAssist staff in application for and
procurement of legal paperwork as needed, including Commissioning
Certificates, Totalization Agreements, Guarantee Letters, visa
applications, and GIRG applicationsAssist World Missions applicants
in collecting medical history and immunizations, forwarding medical
for approval, and coordinating medical approval document agreements
-Personnel Budget and Compensation DutiesAssist new staff and their
supervisors on the budget calculator and create their new
budgetCoordinate with New Staff Orientation leader and Ministry of
Partner Development team to ensure all field staff attending the
orientation have completed a budget calculator and understand how
to use itUtilize Staff Financial Center and knowledge of field
staff needs to plan and provide an appropriate budget calculator
for current field staff requests -Customer (Staff) ServiceProvide
phone support with a positive attitude and excellent customer
serviceProvide ongoing personnel support for staff once they have
reported to their assignmentRoute calls to Staff Services when
appropriateAssist staff with onboarding process, such as setting up
ministry account, initiating hire in Workday, and facilitating
P-Card applications -Contribute to Organizational Strategy and
ProcessesPartner with Human Resources, Corporate
Accounting/Payroll, FSC Finance, Ministry of Partner Development,
and Donor Records for maintaining knowledge, strengthening
relationships, ensuring compliance, contributing to the
organizational strategy, and improving personnel and finance
processes, policies, and proceduresAdminister Caleb Group - print
ID cards, mail welcome letters, attend quarterly Caleb Council
meetingsAttend field meetings and events as appropriateAttend FSC
Personnel team and Field Support Center meetings for communication,
development, cross-training, and supportPlan, lead, or participate
in Field Support Center gatherings such as Engagement Committee,
birthday celebrations, quarterly meetings, picnics -Additional
ResponsibilitiesMaintain regular communication with your supervisor
for operational responsibilities and workload managementProvide
assistance to directing staff and leaders to available personnel
reports per missionDeliver personnel data and demographic reports
to missions when they are not accessible to them in WorkdaySubmit
and allocate ministry expenses to appropriate cost centersBe
familiar with and support field protocols as they relate to
personnel topicsResponsible for submitting hours worked in the
organizational Time Tracking system due on a weekly basisComplete
additional job-related tasks as assigned -Personal
DevelopmentPursue intimacy with Jesus in all things for the glory
of God Participate in the annual Plan and Progress review process
with direct supervisor including creating annual goals and
developmental objectivesFacilitate and participate in team book
studies as they relate to personal, professional, spiritual, or
cultural developmentParticipate in development events such as
Navigator on-site events, Cultural Development and Diversity
trainings, or other non-Navigator development events as
appropriate
Qualifications:
Belief in and adherence to the Statement of Faith and Mission of
The NavigatorsMinimum of a high school education Minimum of 1-year
personnel administration experienceMust have strong verbal and
written communication skillsMicrosoft Office Suite proficiency (40
to 45 wpm)Aptitude to learn new software applications as
necessaryStrong organizational and problem-solving skillsMust have
exceptional customer service skillsProven relational and
collaborative skills within a team and cross-functionality with
other teamsSelf-motivated and can work independentlyExcellent
attention to detailAbility to maintain discretion and
confidentiality of informationDemonstrated experience to multitask
and prioritize in a fast-paced and changing environment
-Compensation Range: $17.45 - $21.82/hr -The Navigators is
