Provide support to parts, service and truck/F&I sales departments for an effective flow of business operations.ESSENTIAL POSITION FUNCTIONS AND PRINCIPAL ACCOUNTABILITIES Accounting - General Ledger1. Review and reconcile all accounting schedules, including, but not limited to, cash, credit card, accounts receivable, Vehicle Receivable, Contracts-in-Transit, sublet, etc.2. Responsible for the general ledger accounts assigned to respective dealership to insure transactions are properly accounted for.3. Review Parts/Service Journal Detail Reports to ensure transactions are properly recorded.4. Prepare, review and post general journal (JV) entries as needed.5. Responsible for completing the Accounting Month-End Checklist prior to posting cutoff.Accounting - Accounts Payable1. Ensure accounts payable invoices are properly posted and paid in an accurate and timely manner.2. Verify monthly vendor statements are reconciled.3. Maintain proper and complete documentation for all vendors (I.e.: Form W-9, Certificate of Insurance, etc.).4. Maintain accounting for all On-Demand Checks (ODC) prepared by location.5. Ensure accounts payable records are maintained according to Company standards.Accounting - Accounts Receivable1. Create and post all cash receipts vouchers (CRV) in an accurate and timely manner.2. Responsible for properly securing the receipt of cash, checks and credit cards and ensuring such items are deposited in a timely manner.3. Communicate with customers regarding Company accounts receivable policies and procedures, including Corporate Billing and MVPreferred.4. Ensure accounts receivable/sales records are maintained according to Company standards.Accounting - Taxes1. Maintain ledger of transactions subject to state and local use and sales taxes.2. Maintain proper and complete documentation for all customers (I.e.: tax exemption certificates, resale certificates, sales tax permit, etc.).3. Responsible for preparing and filing vehicle inventory tax (VIT) returns. (Texas only)F&I/Truck Sales1. Coordinate the Monthly Truck Inventory procedures and provide reconciliation to Corporate Accounting.2. Ensure truck inventory is updated (I.e.: sold names and delivery dates) each Friday.3. Responsible for the preparation and review of delivery paperwork and registration/titling processes, including the verification of FRET and sales tax calculations.4. Ensure new trucks are warranty registered (I.e.: RDN) and other new/used truck warranties are properly processed and recorded.Human Resources/Payroll1. Responsible for staffing and managing business office personnel.2. Responsible for the on-boarding and orientation of new employees, as well as exit paperwork for terminated employees.3. Process all personnel file changes and submit to Corporate Payroll.4. Review payroll for processing.POSITION REQUIREMENTS Education & Experience1. B.B.A. degree in Accounting, Finance or Business Administration preferred or equivalent experience or equivalent combination of education and experience.2. Experience: Minimum three years previous office management experience in an automotive/truck dealership required.3. Proficiency using ADP or similar Dealer Management Software (DMS).4. Thorough knowledge of dealership accounting principles.5. Language Skills: Read and write the English language.6. Mathematical Skills & Reasoning Ability: Should be able to read computer-generated reports, office reports, invoices, etc. Should be able to compute numbers manually, or by use of calculator or computer. Also is required to operate computer terminals with keyboard and mouse, 10-key calculator, fax machine, and other various office equipment. Must be able to use communicative skills to interact with customers, vendors, and co-workers in a positive and constructive manner.7. Physical Demands: Position involves essential ability to sit, maneuver from one work area to another, being able to bend and squat, and manipulate small objects. Involves some lifting, 50 lbs or less, and maneuvering of boxes of computer paper and storage boxes.
