Job Title: Administrative Assistant Job Classification: Part Time Salary Range: $17.00 - $22.00Administrative Assistant, is responsible for performing a range of clerical and administrative tasks to support daily operations in an office setting.Administrative Assistant must be exceptional multitaskers, and since they're responsible for coordinating other people's schedules, they must be incredibly well organized. Administrative Assistants will also need basic skills with commonly used computer software to do things like send emails, manage calendars and order supplies. Proficiency in Microsoft Office programs is essential to this position. Other important skills and qualifications for these professionals include: flexibility and the ability to prioritize new tasks as they come in, interpersonal communication, and time management. Responsibilities / Duties will vary daily depending on needs of Administrator but include: Maintain the Practice Administrators appointment schedule Assists the Practice Administrator with daily administrative duties Assists and Practice Administrator in preparing for meetings , including preparing meeting materials, keeping track of meeting progress and follow up items, and preparing and revising correspondence and other documents, as necessary. Works closely and effectively with the Practice Administrator to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Serve as contact for the company, greet and establish rapport with employees, vendors, visitors, and all other guests entering and exiting the building. Answer and direct telephone calls, and appropriately relay important information promptly, clearly, maintaining confidently as needed. Manage sensitive matters with a high level of confidentiality and discretion. Plan, coordinate, organize and help at various company meetings, events, and celebrations. Receive and sort daily mail, filing appropriate documents accordingly. Maintain inventory of the company's supplies, reordering as needed. Pick up deliveries and run errands as needed Minimum Education Requirements High school diploma or GED obtained Minimum Background Requirements Good understanding of ophthalmic practices and patient care. Ability to communicate with patients, coworkers, and supervisor. Read, write, communicate, and present a neat professional appearance. Create a good impression as a friendly, empathetic, composed, and efficient individual. Demonstrate reliability, a pleasant attitude, and a willingness to perform the duties as required. Maintain and comply with employee confidentiality and integrity policy on all matters. Microsoft Word & Excel knowledge necessary Need attention to detail and time management skills Must be able to enter keyboard data, dial the phone, and use other office equipment. Must have physical and mental stamina to work rapidly and with accuracy over long periods of time. Previous experience in interviewing and onboarding employees preferred. Previous experience with credentialing for physicians preferred. This position requires excellent attendance as there is minimal back up. All time off request should be submitted with a 2 week notice unless unforeseeable. Minimum Demonstrated Skills: Display consistent professionalism. Consistently display positive rapport with fellow employees. Cooperate with supervisory staff and physicians. Demonstrate flexibility in job assessment. Demonstrate initiative in accomplishing practice goals. Physical Demands/Working Conditions Must be able to work effectively in a fast-paced environment. Must be able to deal with a wide variety of patients and colleagues effectively and calmly, including those who may be upset or angry. Must be able to communicate in-person and via telephone. Must be able to enter keyboard data, dial the phone, and use other office equipment. Must have physical and mental stamina to work rapidly and with accuracy over long periods of time.
