Scheduling Administrative Assistant - Short Term Rental Management We are a short-term rental hosting company specializing in Airbnb. We currently manage 55-65 top performing properties in Colorado Springs, Teller County and even a few remote properties. We are looking to hire either a part-time or full-time Scheduling Administrative Assistant for our small team. The right person will enjoy a mix of hands-on tasks and computer work. They will bring their positive energy, a can-do attitude and customer service skills to help provide the best experience possible to our clients, guests, and staff. Other skills such as problem solving, multi-tasking, time management, attention to detail and scheduling.Primary Goal: Contributing to a positive, fun, and professional environment. Assisting the Guest & Client Coordinator and Listing Manager with daily operations such as scheduling, logistic coordination, customer service, errands, rental upkeep while providing assistance for guests, clients and contractors ultimately leading to 5 star reviews for our rentals. Daily operations Completing the morning/evening checklists to help maintain daily logistics and the state of the scheduling software.Responding to guest messages within the hour, using proper grammar and punctuation, and upholding our 5-star customer experience with top notch, friendly and helpful customer service.Answering phone calls and providing excellent customer service to guests, property owners, cleaners, contractors, etc.Execute tasks assigned by the Guest & Client Coordinator and Listing Manager to assist with guest experience, the needs of contractors and rental upkeep.Running errands for the Guest & Client coordinator and Listing Manager, such as going to the store or post office or running to rentals to take pictures, verify repairs, and investigate reports from cleaners and guests.Filing and assigning tickets for any issues that arise to document each situation.Clearing out the queue by following up with payments that need to be collected, scheduling pet cleans, contractor tasks and filing tickets for issues reported. Scheduling operations Go through the master calendar daily to schedule pet cleans, late check outs, early check ins, clear out or assign tenative tasks, etc.Assign turnovers to cleaners taking into account their availabilty and preferences.Creating and assigning cleaning inspections.Sorting through tickets and scheduling maintenance or yard work 3 weeks out. Being thorough with maintenance tasks by providing details from tickets or by communicating back and forth with the handyman.Assign tasks for cleaners like changing door lock batteries and taking supply inventory.Processing time off requests and reaching out to cleaners directly to create good partnerships with them.Entering new contractors and cleaners into the system.Completing piece pay weekly to ensure cleaners are being paid correctly.
