Description

This position provides the administrative support to our Colorado Springs office.

Duties

  • Be present to open and close office daily, check mail daily, with a strong emphasis on timeliness

    • Prepare and maintain folders/files, surveys, on-line member files (ShareNet), vendor files, office files, and resource materials

      • Become familiar and stay current with all MSEC member services, training schedules, special services, internet services, and internal MSEC operations in order to be able to relay information to members or potential members as needed

        • Process registration of participants for all classes and events held by the Arizona office

          • Support coordination of events and training sessions to include project planning and coordination, securing locations as needed, assuring all required materials are ordered and available, preparing flyers and member marketing materials, creating presentation slides, speaker confirmations, working with outside vendors and assuring training room set up

            • Act as Regional Office On-Site coordinator including drafting and submitting on site confirmation sheets, working with trainer on materials needed, calendaring on training calendar, updating and maintaining training analysis report, and coordinating with on-site coordinator and shipping of materials from Denver

              • Act as coordinator for public training classes including sending confirmation emails to participants, set up of classroom and power points, ensuring that appropriate materials are delivered to ARO, and sending follow up email to participants.

                • Provide support to leadership in planning and administering budgets for equipment, supplies, and events

                  • Assist with preparation of annual regional training catalog

                    • Coordinate with Denver office for IT, videoconferencing and phone system support and trouble-shooting

                      • Provide support to the director and staff when needed

                        • Market to members via phone, e-blasts, or email when training classes need additional attendees

                          • Prepare special marketing materials for email, postcards, e-blasts, and mailings

                            • Coordinate catering services for various functions

                              • Coordinates with Accounting Department in Denver for payment of invoices

                                • Compile new member materials and other marketing and member materials as requested

                                  • Pro - actively provide other administrative duties as needed or requested

                                      • Knowledge and ability to proficiently operate Microsoft Office software including Word, Power Point, Excel and Outlook

                                        • Ability to communicate effectively orally and in writing

                                          • Ability to be punctual and manage time effectively

                                            • Ability to provide timely and accurate follow-through on projects, member or staff requests

                                              • Ability to maintain a professional manner and positive interactions with members, staff and visitors

                                                • Attention to detail, customer focused, and answer the telephone on the first ring

                                                  • Microsoft Office Suite training preferred

                                                    General office environment the majority of time. Frequent lifting of small objects (up to 10 pounds), occasional lifting of larger objects (up to 50 pounds), pushing, pulling, stooping, bending and kneeling.
